Invoice intake from WhatsApp and email

Documents from WhatsApp and email land in one table, get checked, and duplicates are caught before they go in.

This is a demo: the business and the data are fictional.

Before
Invoices scattered across WhatsApp and email, typed in by hand.
After
One table, with checks and duplicate detection.

The problem

Suppliers send invoices and delivery notes on WhatsApp, by email and by text. Someone has to collect, type, check and file every document.

What I built

A demo of document intake: documents arriving on WhatsApp, by email or by SMS land in one table with supplier, document number, date, amounts and project. Every document is checked, and duplicates are flagged and kept out.

How it works

  1. The document arrives on WhatsApp, by email or by SMS.
  2. The data is read from the document: supplier, number, date, amount before and after VAT.
  3. Checks: totals that don't add up, fields that were not read with certainty, matching to a delivery note, and duplicate detection.
  4. A valid document is marked ready for approval and saved in the supplier's folder.
